HR Documentation

As your social sector organisation engages a workforce, this could be employees, workers, volunteers or self-employed contractors, you should implement an HR framework to comply with employment legislation and, where possible, good practice. This framework will include a range of HR documentation such as terms and conditions of employment, policies and possibly a handbook.

What HR documentation should my organisation have in place?

This will vary from organisation to organisation. There are some documents you are legally required to have in place, or must issue to individuals, such as ensuring that you provide a written contract of employment to an employee by no later than day 1 of employment. Other documents may be required by stakeholders or funders, such as an Equality & Diversity Policy or documents may be considered good practice depending upon the type of services you deliver or your organisational values, for example, wellbeing or safeguarding.

How we undertake HR documentation work

Roots HR can work to create HR documents where they don’t currently exist, or we can review and update existing documentation to ensure it remains fit for purpose for your organisation.

HR document creation – Our document creation service delivers a new policy or document, in your house style if required, either because your organisation has never had one before or because the existing policy is so dated or unfit for purpose that it is easier, and more cost effective, to start afresh. We operate fixed fees for the production of new documents, costs vary according to the type of document, the extent of tailoring required, and the complexity of the terms and conditions/processes; the final deliverable is a new, fully tailored document, guaranteed for legal compliance at the point of production.

HR document review – We can review policies, handbooks and contract templates against legal compliance and recognised good practice. The outcome is a report which states, per document, whether it is:

  • Fit for purpose
  • Fit for purpose with minor updates (which can be addressed within 1 hour)
  • Unfit for purpose (because it is not legally compliant and/or the time it would take to update the existing policy will be greater than the time taken to draft a new document).

NB This is a popular and highly cost-effective service, but the actual updates are not themselves carried out within this service.

HR document updates – Our updating service delivers a “tracked changes” version of your existing policy (or document). This can be done following a policy review as set out above or simply be undertaken because it is known to be needed.

How much will it cost for you to support me with my HR documentation?

All work will be scoped with you and a proposal is provided for your review and approval.

I only need help with a one-off piece of work, will I have to sign up to monthly fees?

No – you won’t be signed up to any monthly fees or subscriptions. We’ll work with you to scope of the work, provide you with a quote for the one-off project – no hidden fees or contracts!
